System Overview
Benchmate understands that more effective maintenance management begins with better organization of maintenance data. To provide maintenance departments and associated users with easy access to the data they need, Benchmate is designed with six major, functionality-specific screens—each organized logically for simple information access.

Equipment
Single screen identifies and describes each equipment, its components, spare parts, maintenance history and related documents. The equipment screen is a focal point in the system for most users. Benchmate offers seven search options to find specific records.
Work Orders
Describes, schedules and tracks planned maintenance activity. Tasks, parts lists and related documents are included for each job. Work orders are automatically closed when work is completed.
Preventive Maintenance
Describes and schedules jobs for periodic maintenance and inspections. Each equipment can have several PM’s such as monthly or annually with service intervals from 1 day to 99 years or by use such as hours, miles or cycles. Each PM may contain a list of tasks, parts and related documents.
Trouble Calls
Provides a quick and convenient screen for users outside of the maintenance department to request service for equipment and facilities.
Service Log
This single screen is used to close all planned jobs. When closed, Benchmate reschedules PMs and closes Work Orders and Trouble Calls. (No need to switch screens). The Service Long can also record unscheduled maintenance. The screen identifies each person who worked, parts used, (root) cause, comments and related documents (e.g.: inspection forms). Each entry becomes part of the maintenance historical data that can be referenced by date, equipment, cause, type-of-work, etc.
Spare Parts
Describes each spare part (even in not normally stored), the equipment and component it is used on, the store room location, quantity on-hand and reorder points. Information on vendors, cost, pictures, parts catalogue, etc. are included. Flags parts below reorder point. Document window links to picture of part, Material Safety Data Sheet (MSDS), drawings, schematics, etc.
Vendors
This screen contains data for vendors and other contacts. The main part of this screen identifies the company, address, phone and fax numbers, and email address. Key fields can be used as a reference or index when searching the vendors file. More detailed information is presented in the Vendors window for contact information, specific vendor details and documents links for contracts, purchase orders, etc.
Purchasing
Provides functionality for preparing and tracking purchase requisitions for parts and services. Each requisition screen stores information about a different purchase requisition such as those for parts, materials or services. Requisitions can be created by anyone with Benchmate password permission to view and add to the Requisition Screen. Additional password permission is required to approve and issue the purchase.
Document Views
Benchmate also offers a number of ways to view important documents. Users can view drawings, spreadsheets, word processing documents, Adobe PDF files, Access databases, AutoCAD drawings, etc. Each Benchmate screen has a documents window that lists up to 50 documents. Users simply double-click the document name for instant viewing access.
